How to organise family documents, one folder per person
School certificates, health records, IDs, club registrations: with children, papers multiply fast. The simplest system that holds is one folder per person, plus one shared folder for the home.

→In short
- One folder per person: you, your partner, each child.
- One shared folder for what concerns everyone: the home, the car, family insurance.
- Inside each person's folder, four kinds of papers: identity, health, school or work, activities.
- Every paper with a date gets a reminder the day you file it.
Why one folder per person works
When the school asks for a certificate or the doctor wants a vaccination date, you think of the person first, not the document type. "Where is Tom's school certificate?" is a faster search than "Education documents, 2026". Sorting by person also makes it easy to hand a child's folder over the day they move out.
The folder plan
| Folder | What goes in it |
|---|
| Tom | ID card, school certificates, report cards, health record, club registrations |
| Oliver | The same, plus the holiday camp forms and the orthodontist quotes |
| Marie | Swimming club registration, medical certificate, passport |
| You | ID, payslips, work contract, health insurance card |
| Home (shared) | Lease or deed, home insurance, energy and internet bills, car papers |
A paper that concerns two people, like a family health insurance contract, goes in the shared folder. In Manny, one document can sit in several folders at once, so you never have to choose.
The dates worth a reminder, person by person
- ID cards and passports: renewal can take weeks, so set the reminder a few months before expiry, earlier before the summer holidays.
- School: enrolment and re-enrolment deadlines, certificates to hand in at the start of the year.
- Health: the next booster written in the health record, follow-up appointments.
- Activities: registration windows and medical certificates clubs ask for, like Marie's due on 15 October.
Scan it, Manny puts it in the right person's folder
Manny reads the name on the paper, suggests Tom's, Oliver's or Marie's folder, and sets the reminder from the date it finds.
Set it up in ten minutes
- 1Create the folders: one per person and one for the home.
- 2Start with what has a date: IDs, school and club papers, insurance.
- 3Name each file "Person - document - year", for example "Tom - School certificate - 2026".
- 4Keep paper originals of official documents in one physical box; the scans are for finding and reminding.
Frequently asked questions
Where do I put a document for the whole family?
In the shared Home folder. If it also matters to one person, add it to their folder too.
From what age should a child have their own folder?
From birth: the health record and the first ID start their paper trail.
