Privacy Policy

Manny ("Manny", "we", "us", or "our") is a personal admin assistant app operated by ai4bio GmbH. This Privacy Policy explains what data we collect, why, how we protect it, and the rights you have over it. It applies to the Manny mobile app and the usemanny.app website.

We built Manny to be private by design: your documents are encrypted, and we only collect what we need to run the service.

1. Data we collect

  • Account information — your name and email address, provided when you sign up (including via Sign in with Apple).
  • Content you create — documents you scan or upload (images and PDFs), tasks, notes, and other content stored in your account.
  • Voice recordings — when you use voice features, audio is sent securely to our servers and transcription providers to convert speech to text and extract tasks.
  • Purchases — subscription and purchase history, managed through our payments partner. We never receive or store your card or bank details.
  • Identifiers — a user account identifier and a device identifier used to operate the service and understand usage.
  • Usage data — how you interact with the app (features used, screens viewed) to help us improve Manny.
  • Support data — information you provide when you contact us or submit feedback.

We do not collect your precise location, health data, contacts, or browsing history from other apps or websites.

2. How we use your data

  • To provide and operate the app's core features.
  • To authenticate you, keep your account secure, and prevent fraud.
  • To transcribe voice input and categorize your documents using AI.
  • To process and manage your subscription.
  • To analyze usage so we can fix issues and improve the product.
  • To respond to your support requests.

We do not use your data for third-party advertising, and we do not sell your data or share it with data brokers. We do not track you across other companies' apps and websites.

3. Service providers

We share data with a small number of trusted providers strictly to operate Manny, under contractual confidentiality and security obligations:

  • Supabase — authentication, database, and backend infrastructure.
  • Microsoft Azure — encrypted document storage and AI processing (including speech-to-text).
  • OpenAI / Anthropic — AI models used to transcribe voice and understand documents. Content is processed to deliver the feature and is not used to train third-party models.
  • RevenueCat — subscription and purchase management.
  • Mixpanel — product analytics (ingested in the EU).
  • Refiner — in-app surveys and feedback.
  • Apple — Sign in with Apple and in-app purchases.

4. Your documents and encryption

Your documents are encrypted in transit and at rest. We treat your documents and voice content as private. We access them only as needed to provide features you request (such as AI categorization or transcription), to maintain the service, or where required by law.

5. Data retention

We keep your data for as long as your account is active. When you delete content or your account, we delete the associated data from our active systems within a reasonable period, except where we are required to retain it for legal, accounting, or security purposes.

6. Your rights

Depending on where you live (including under the EU/EEA GDPR), you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can delete your account from within the app, or contact us to exercise any of these rights.

7. International transfers

We are based in the European Union. Some of our providers may process data outside your country. Where that happens, we rely on appropriate safeguards (such as the European Commission's Standard Contractual Clauses) to protect your data.

8. Children

Manny is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect their personal data.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app.
